Solid preparation is half the journey to a successful party. Use this checklist so nothing gets missed, from booking the organizer to event day itself.

30 Days Out: The Event's Foundation

At this stage, decide the date, time, and estimated guest count. Book your venue and organizer right away too, since popular weekend slots at organizers and venues often fill up 3–4 weeks ahead. Decide the theme and main colors, then discuss packages with your organizer and request a written proposal for clarity. Don't forget to send a casual 'save the date' to close family and friends via WhatsApp.

21 Days Out: Details and Confirmations

Time to finalize the digital invitation design and send it out to guests. Tell your organizer the estimated guest count so they can calculate goodie bags and catering accurately. Discuss the event run-of-show with the MC or organizer and ask for an initial draft. This is also the right time to order a custom birthday cake, since themed cakes need longer lead time than a regular cake. If you want photo or video documentation, discuss your needs with the photographer, or make sure your organizer's package already includes it.

7 Days Out: Finalize Every Element

A week before the big day, reconfirm all vendors and the organizer via WhatsApp, making sure the schedule and venue address are recorded correctly. Prepare a song playlist too, if your organizer asked for one in advance. Buy or prepare your child's outfit or costume for the day, and confirm the final guest count with catering. If you're handling the goodie bags yourself, this is the time to prepare them. Finally, recheck the venue's condition, parking, entry access, and toilet facilities.

Event Day: Stay Relaxed

Make sure the organizer's team arrives at least 2 hours before guests for setup. You don't need to supervise everything — leave it to the team. Ask one family member or friend to watch the entrance and welcome guests. Prepare a small bag with plasters, wet wipes, a change of clothes for your child, a phone charger, and essential medicine. Most importantly, just enjoy the party — your happy smile is the best energy for the whole room.
