How to Calculate Guest Capacity Based on Venue Size
An overcrowded venue makes it hard for kids to move, but a venue too big for a small guest list feels empty. Here's how to estimate the right capacity.
A Rough Benchmark for Space Per Child
For an active play area, like games or dancing, allow around 1.5 to 2 square meters per child so they can move freely without feeling cramped. For a seated area, for eating or watching a show, 1 square meter per child is usually enough.
Don't Forget Non-Play Areas
Beyond the play area, also leave room for the cake table, photobooth, seating for parents, and a pathway for the organizer's team to move through. A venue where every inch is used purely for play, with no supporting space, often feels cramped even if the total area is actually enough.
Lock the Venue First, Then Decide the Guest Count
If your venue is already set and its size is limited, it's better to cap the invitation count to that venue's realistic capacity, rather than forcing too many guests into a tight space. An overcrowded venue just makes things uncomfortable, and games become hard to run effectively.
